The Administrative Assistant is responsible for performing routine administrative and clerical support functions, including managing front desk and office operations/equipment and engaging in correspondence. The Administrative Assistant acts as the Town Hall receptionist, which involves extensive public contact, communication, and customer service. The position also provides administrative support to the Town Clerk as directed, secondary to front desk and customer service duties.
Essential Duties
The Administrative Assistant is responsible for the following essential job functions and
duties:
- Provides excellent customer service by serving as the primary front desk representative at Town Hall, greeting the public both in person and on the phone, and directing the public to proper authorities or Town departments.
- May be responsible for opening and closing Town Hall, depending on assigned schedule.
- Responds to public inquiries and disseminates information, both written and verbal, to the public and other departments.
- Receives applications, verifying that all required documents and payments are included before forwarding them to the appropriate department.
- Answers public complaints professionally and seeks positive solutions when handling challenging interactions. Forwards public inquiries and complaints to the appropriate department for resolution and follows up as needed.
- Receives and processes payments, ensuring that all payments that come to the front desk are accounted for and go to the appropriate department. Checks the overnight payment drop off box and post office box regularly.
- Utilizes utility billing software to review account balances, process incoming payments, and answer questions.
- Assists in disseminating public information through print materials, website updates, and social media, as directed.
- Performs general office duties, including ordering supplies for Town Hall and other departments as assigned, maintaining records management database systems, and performing basic bookkeeping work. Responsible for coordinating with Town Hall staff and developing a monthly office schedule.
- Tracks and receives orders, notifying departments when they have mail or packages to pick up.
- Provides general administrative support to the Clerk and Town Administrator as assigned.
- Posts public meeting notices at Town Hall and the post office, ensuring Town Hall is compliant with all Colorado Sunshine Laws.
- Coordinates EcoPass cards for residents. Responsibilities include verifying rider eligibility, keeping records of new and renewal cards, entering cards into the RTD web portal, printing cards, ordering new cards as needed, and performing a yearly audit to ensure cards are only being used by those in the Nederland EcoPass district.
- Orders office and janitorial supplies for Town facilities, providing detailed records of expenses.
- Serves as a Notary Public.
- Maintains the state of Town Hall, ensuring all equipment is in working order. Supports the Clerk in maintaining Town Hall records, ensuring files and supplies are organized and accessible, and the building is presentable. Troubleshoots office equipment issues and coordinates with vendors for maintenance/repair.
- Helps organize and make arrangements, such as coordinating catering for luncheons for committee, board, and other meetings or events.
- Supports the Town Clerk in processing business and short-term rental (STR) licenses. Assists with routine correspondence, tracks renewal dates, and provides general support as directed. Supports the Clerk with managing all Town vehicle records, ensuring that all vehicles have current registration, emissions tests, and titles.
Other Duties
- Performs related work and projects as assigned. May be involved in special projects that are unrelated to primary and essential job functions as assigned by the Town Clerk, including but not limited to elections, CORA requests, Board of Trustees packets, etc.
- Performs work assignments in a safe manner and encourages others to use safe work practices and maintains a work environment that is conducive to safe work practices and standards. Reports any accidents, unsafe conditions, or concerns to management.
- Manages a limited amount of time and prioritizes a large volume of work to ensure all essential duties are completed correctly and on time.
- Continues educational requirements as necessary to remain technically skilled and cognizant of current methods and procedures.
- Attends and participates in all required training and meetings.
- Performs limited Town Clerk functions in the absence of the Town Clerk.
- May support the Court Clerk with various tasks and citation processing.
Knowledge, Skills, and Abilities
- Knowledge of computer software applications such as Microsoft Office and other networked computer functions, including Internet, e-mail, and social media sites.
- Knowledge of and experience in use of spreadsheets, databases, and word processing to track internal information.
- Skilled in record-keeping and professional, contemporary office practices and equipment.
- Skilled in producing high quality and detailed work despite frequent interruptions.
- Ability to maintain confidentiality and handles matters of a sensitive nature.
- Ability to be service-oriented and able to resolve public questions or concerns in a timely manner.
- Ability to interact with the public while demonstrating professionalism, excellent communication, interpersonal skills, and independent judgment.
- Ability to perform a variety of administrative, clerical, and data entry functions with strong organizational and technical skills.
- Ability to be reliable and consistently follow verbal and written instructions.
- Ability to communicate clearly both verbally and in writing.
Education, Experience, & Formal Training
Required Minimum Qualifications:
High School Diploma or equivalent with two (2) years of work experience in a professional office environment. Additional professional experience may be substituted for some educational background, at the Town’s discretion.
Possess and maintain a valid State of Colorado Notary Public certification and commission or obtain within six (6) months of employment.
Preferred Qualifications:
Preference will be given to candidates with customer service experience and/or a dedicated customer service orientation. Knowledge of Nederland and surrounding areas will also be considered.
